Event & Gathering Policy

CL Hôtel Groupe ("CLHG") selectively considers small-scale events, gatherings, celebrations, retreats, and professionally coordinated functions at certain properties where operationally appropriate and legally permissible.
CLHG properties are first and foremost luxury residential accommodations. Events and gatherings are reviewed carefully to protect:
- guest experience,
- neighboring properties,
- property condition,
- staffing and operational feasibility,
- and compliance with applicable municipal, neighborhood, and regulatory requirements.
Submission of an inquiry does not constitute approval.
All gatherings, celebrations, productions, and event-related activities remain subject to review and written approval by CLHG.
1. Eligible Properties & Approval Requirements
Not all CLHG properties are appropriate for events or gatherings.
Approval may depend on:
- property characteristics,
- neighborhood considerations,
- occupancy limitations,
- staffing availability,
- parking feasibility,
- seasonality,
- municipal regulations,
- HOA restrictions where applicable,
- and the nature of the proposed gathering.
Events or gatherings may not be advertised, scheduled, or hosted without prior written approval from CLHG.
Unauthorized events or gatherings are strictly prohibited.
2. Types of Gatherings Considered
Depending on the property and operational circumstances, CLHG may consider requests involving:
- family gatherings,
- milestone celebrations,
- rehearsal dinners,
- vow renewals,
- small receptions,
- executive or professional retreats,
- corporate off-sites,
- wellness retreats,
- private chef experiences,
- styled shoots,
- editorial photography,
- content production,
- and similar professionally managed uses.
Approval decisions remain discretionary and may vary by property, timing, staffing capacity, neighborhood conditions, and regulatory considerations.
CLHG reserves the right to decline requests that are operationally unsuitable, commercially inconsistent with the property, or incompatible with local regulations or neighborhood standards.
3. Occupancy & Guest Limits
All reservations remain subject to applicable occupancy restrictions and local regulations.
Current Prescott-area properties generally maintain a maximum overnight occupancy of fourteen (14) adult guests unless otherwise approved in writing.
Event attendance limits, vendor access, visitor allowances, parking plans, and gathering scope may differ from overnight occupancy limits and are evaluated individually for each request.
Approval of a reservation does not imply approval of additional attendees, vendors, spectators, or event participants.
4. Event Review Process
Event-related reservations may require additional review and documentation prior to approval.
CLHG may request information including:
- event type,
- proposed attendance,
- vendor lists,
- parking plans,
- production details,
- event timeline,
- sound or entertainment plans,
- alcohol service plans,
- insurance documentation,
- or other operational information reasonably necessary for review.
Certain reservations may require:
- supplemental agreements,
- increased deposits,
- event fees,
- staffing requirements,
- vendor coordination,
- security personnel,
- or proof of insurance.
Event approval may be withheld, conditioned, modified, or revoked at CLHG's discretion.
5. Regulatory Compliance
All approved gatherings remain subject to:
- municipal regulations,
- zoning limitations,
- noise ordinances,
- fire-safety requirements,
- parking restrictions,
- and any other applicable governmental or neighborhood standards.
CLHG does not guarantee that a proposed event or gathering will qualify for regulatory approval.
Guests and event organizers remain responsible for complying with all applicable laws and permit requirements.
CLHG reserves the right to deny or terminate gatherings that create material regulatory, neighborhood, operational, or safety concerns.
6. Neighborhood & Noise Standards
CLHG properties are located within residential and resort-style communities where neighboring property enjoyment and community standards are taken seriously.
Guests and organizers are expected to conduct gatherings respectfully and professionally.
Outdoor amplified sound, excessive noise, disruptive late-night activity, parking congestion, fireworks, unlawful conduct, and nuisance conditions are prohibited.
Unless otherwise approved in writing, quiet hours are generally observed between:
- 10:00 PM and 8:00 AM.
CLHG reserves the right to intervene where sound levels, conduct, parking, or guest behavior materially affect neighboring properties or violate operational standards.
7. Vendors, Deliveries & Third-Party Services
Outside vendors, caterers, planners, entertainers, rental companies, photographers, production teams, or service providers may require prior approval.
Approved vendors are expected to:
- conduct themselves professionally,
- comply with property rules,
- maintain appropriate insurance where required,
- and avoid damage to landscaping, furnishings, structures, and neighboring properties.
CLHG may limit:
- vendor access,
- setup windows,
- equipment deliveries,
- parking,
- staging areas,
- or event infrastructure depending on operational conditions.
8. Property Protection & Damage Responsibility
Event-related reservations inherently involve elevated operational risk and property exposure.
The Primary Guest and event organizer remain fully responsible for:
- property damage,
- excessive cleaning,
- unauthorized occupancy,
- vendor-related damage,
- furniture movement,
- landscaping damage,
- smoke remediation,
- waste removal,
- and extraordinary operational remediation costs arising from the event or gathering.
Additional deposits, authorization holds, insurance requirements, or post-event charges may apply where appropriate.
9. Fire Safety & Outdoor Conduct
Certain CLHG properties are located in areas with elevated wildfire or environmental sensitivity.
Guests, vendors, and attendees must exercise heightened caution with respect to:
- smoking materials,
- candles,
- grills,
- outdoor heaters,
- fireworks,
- open flames,
- and electrical equipment.
Fireworks, pyrotechnics, sky lanterns, and similar activities are prohibited unless specifically authorized in writing and legally permitted.
Guests are responsible for ensuring safe disposal of smoking materials and related waste.
10. Alcohol Service & Illegal Conduct
Guests and organizers remain solely responsible for lawful and responsible alcohol service and consumption.
CLHG does not provide security, alcohol permitting, bartending services, or crowd management unless separately arranged in writing.
Illegal drug use, underage drinking, reckless conduct, disorderly behavior, violence, or unlawful activity are strictly prohibited.
CLHG reserves the right to terminate events or require immediate removal of guests, vendors, or attendees where operational, safety, legal, or neighborhood concerns arise.
11. Unauthorized Events
Unauthorized events or gatherings constitute a material violation of CLHG Booking Terms.
Indicators of unauthorized events may include:
- undisclosed vendors,
- excessive vehicles,
- elevated attendance,
- amplified music,
- staging equipment,
- crowd activity,
- commercial production activity,
- or materially inconsistent reservation behavior.
Where unauthorized events occur, CLHG reserves the right to:
- terminate occupancy,
- cancel the reservation,
- require immediate departure,
- remove unauthorized attendees,
- apply additional charges,
- retain deposits,
- or involve law enforcement or security personnel where necessary.
Refunds are not guaranteed where reservations are terminated for policy violations.
12. Reservation of Rights
CLHG reserves the right to:
- approve or decline gatherings at its discretion,
- modify operational requirements,
- impose additional conditions,
- revoke approvals,
- or terminate activities creating operational, legal, safety, or neighborhood concerns.
Nothing in this policy guarantees event eligibility at any CLHG property.
All approvals remain property-specific, reservation-specific, and subject to operational feasibility.
